Privacy policy

Last updated: [Month Day, Year]

Your privacy matters to us. This policy explains what personal information Active Precision Physio and Sport Therapy collects, how we use and protect it, and the choices you have. We follow British Columbia’s Personal Information Protection Act (PIPA) and the privacy standards of the College of Health and Care Professionals of BC.

Who we are

Active Precision Physio and Sport Therapy is a physiotherapy clinic at Suite 604, 325 Howe St, Vancouver, BC. In this policy, “we”, “us” and “our” mean Active Precision. This policy covers information we collect at the clinic, by phone, text and email, and through this website.

What we collect

Information you give us, such as:

  • Your name, phone number, email address, mailing address and date of birth
  • Health information you share with us and information from your assessments and treatment
  • Your BC Personal Health Number, and ICBC or WorkSafeBC claim numbers if you have a claim
  • Extended health insurance details, if we bill your insurer or you ask for receipts
  • Anything you include when you fill out a form on this website or send us a message

Information collected automatically when you use this website, such as your device and browser type, the pages you visit, and how you found our site. See Cookies and tracking.

We only collect what we need. Please don’t include health details in website forms; we’ll discuss them with you directly.

How we use it

  • To assess, treat and care for you, and keep accurate clinical records
  • To book, confirm and remind you about appointments
  • To bill you, your insurer, ICBC or WorkSafeBC, and to provide receipts
  • To answer your questions and follow up on enquiries
  • To send clinic updates and helpful information, only if you’ve agreed to receive them
  • To understand how people use our website so we can improve it and our advertising
  • To meet our legal and professional obligations

We collect, use and share your information with your consent, except where the law allows or requires otherwise. When you book an appointment or receive treatment, you consent to us using your information to provide care and handle billing. For anything else, such as marketing emails or texts, we ask for your consent first.

You can withdraw your consent at any time by contacting us. If withdrawing consent affects our ability to treat you or bill on your behalf, we’ll explain what that means.

Who we share it with

We never sell your personal information. We only share it when needed, and only what’s needed:

  • Insurers and claim providers, such as your extended health plan, ICBC or WorkSafeBC, to bill for your treatment and provide the reports your claim requires
  • Other health professionals involved in your care, such as your doctor, with your permission
  • Service providers who help us run the clinic, such as our online booking and clinic management software, website and customer relationship management platform, email and text messaging services, and payment processors. They may only use your information to provide their services to us.
  • When the law requires it, for example to respond to a court order or our regulatory college, or to prevent serious harm

Storage outside Canada

Some of the service providers we use may store or process information on servers outside Canada, including in the United States. When that happens, your information may be subject to the laws of that country. We choose providers that protect personal information to standards comparable to Canadian law.

Cookies and tracking

Our website uses cookies and similar tools to make the site work, understand how visitors use it, and measure our advertising. These may include tools from Google (such as Google Analytics and Google Ads) and Meta (Facebook and Instagram). They collect information like the pages you view and the links you click. They don’t collect your health information.

You can block or delete cookies in your browser settings. The site will still work, but some features may not.

Emails and texts

We send appointment confirmations and reminders by email or text so you don’t miss your visit. We only send promotional messages, such as clinic news or offers, if you’ve agreed to receive them, in line with Canada’s Anti-Spam Legislation (CASL).

You can unsubscribe at any time by clicking “unsubscribe” in any email or replying STOP to any text. Message and data rates may apply.

Keeping it safe

We protect your information with physical, administrative and technical safeguards appropriate to its sensitivity, including secure, password-protected systems, limited access for staff who need it, and confidentiality obligations. No system is completely secure, but we take reasonable steps to protect your information and will notify you if a privacy breach could cause you significant harm.

How long we keep it

We keep clinical records for as long as required by the College of Health and Care Professionals of BC and other applicable laws, then destroy them securely. We keep contact information used for marketing until you unsubscribe or ask us to delete it.

Your rights

You have the right to:

  • Ask to see the personal information we hold about you
  • Ask us to correct information that’s wrong or incomplete
  • Ask how your information has been used and who it has been shared with
  • Withdraw your consent, subject to legal or contractual limits

To make a request, contact our Privacy Officer below. We’ll respond within the time required by law. We may need to confirm your identity first.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
